BHMT has partnered with many academic institutions to offer degrees in numerous fields ranging from Associates through the Doctoral level at discounted tuition rates. BHMT provides funding up to $5,250 a calendar year. In most cases, BHMT is directly billed by partner institutions for all costs of attendance thereby allowing students to focus solely on their academic success.

For additional support, BHMT utilizes a team of Academic Success Coaches (ASCs) to support each client along their academic journey. Clients in need of a computer for their program have access to the BHMT Laptop Lending Program.

Follow these steps to apply for a BHMT degree program.

  1. If you haven't met with a Career Development Coach (CDC), schedule a meeting to discuss your goals and your learning readiness.
    Your CDC will refer you to a BHMT Academic Success Coach (ASC).
  2. After being referred to an ASC by your CDC, schedule your appointment with an ASC. You will not be able to schedule an appointment with an ASC until you've secured a referral from your CDC. Your ASC will help:
    • Choose the best school for your goals
    • Guide you through the application process
    • Guide you through creating an individualized education and financial plan for your program
  3. Once you and your ASC have identified the academic program and school which best fits your needs, your ASC will set-up an Intent to Enroll (ITE) form.
  4. You will then log into MyBHMT and complete the BHMT Academic Program Application. Upon submission, an Intent to Enroll certificate will be emailed to your school with a copy to you.

Important Notes:

DO NOT apply to the school before they receive your ITE certificate - this is the only way they know you are a BHMT student.

BHMT will use your KP Tuition Reimbursement (TR) benefit as part of your tuition payments throughout the length of your program.

To complete your degree program without interruption, you must:

  • Complete an online check-in or meet with your BHMT ASC at least every six months to track progress and to discuss any difficulties you may be experiencing. You will receive a link via email to log into MyBHMT and complete your online check-in every six months.
  • Complete all courses each academic term with a final grade of “C” or better or achieve any passing grade required by your school.
  • Respond to any communications from your BHMT Client Services Team (CDC, ASC, Program Specialist, or Client Service rep) in a timely manner. If they're reaching out to you regarding your program - it will be important.

The RN to BSN program provides $16,500 in tuition funding for working RNs with active, unencumbered RN licenses to earn their BSN through an accelerated program. The program is accelerated because our partner colleges have designed their programs to accept your work experience as an RN for credits towards completing your BSN.

If you

  • are not currently working / have never worked as an RN, or
  • do not have a valid RN License, or
  • do not have an Associate's degree in Nursing from an accredited academic institution
but want to earn a BSN degree, apply to one or our partner college's regular BSN programs.

BHMT’s Tuition Assistance program (TAP) helps you use your KP Tuition Reimbursement (TR) benefit to pre-pay certain school expenses when you attend a school other than one of the BHMT partner schools. The program covers up to $3,000 a year or whatever is left in your KP Tuition Reimbursement (TR) balance, whichever is less.

To qualify, you must be a BHMT-eligible employee with active KP status, have completed your probation period, and work full-time or part-time (at least 20 hours a week). Your manager must approve your KP TR application, and the school must be accredited. Check your Regional TR Policy for any extra parameters.

  • TAP usually pays your school directly for tuition and fees.
  • If you need to pay your school first, upload proof of payment as part of your TAP Check Request Form, and BHMT will reimburse you once your TR application is approved. Books and materials will be reimbursed to you once you upload proof of payment.

If your KP TR balance doesn’t cover the full amount, Tuition Assistance will pay what it can, and you must pay the rest.

If you successfully pass your course(s) with a grade of “C” or better, you won’t have to pay BHMT back, but you may lose eligibility for Tuition Assistance or other Trust programs for 12 months. BHMT’s Unsuccessful Course Completion and Dropped Class Policy.

You must successfully complete the course listed on your application or you won’t be able to use the Tuition Assistance program for 12 months.

Follow these steps to apply for Tuition Assistance.

  1. Select APPLY to complete and Submit the BHMT Tuition Program Application. If you are eligible, you will receive an email notification within 1-2 weeks with next steps.
  2. Once you’re approved for Tuition Assistance, it covers any KP TR applications you submit for the entire year and is not tied to a specific provider or program of study. For BHMT to pay your school directly or to reimburse you, you must:
    • Submit a KP TR application for each course or term you seek a school payment or reimbursement.
    • Complete a BHMT Tuition Assistance Check Request Form for each payment request and upload them to each KP TR Application you have submitted.
    • If you need to be reimbursed for something you paid for, you must also provide proof of payment.

I understand that after I am approved to participate in the BHMT Tuition Assistance Program, that any ???? non-travel related Tuition Reimbursement application I submit through the KP TR Application system will be eligible for pre-payment through BHMT.

Reimbursement Requirements
  • You must successfully complete your course with a “C” or better to maintain Tuition reimbursement eligibility for the remainder of the calendar year.
  • Upload proof of completion (grades) to your KP TR Application within 30 days of the course end date.
  • BHMT follows your region’s KP TR policy for reimbursement timeframes.
Reimbursement Process
  1. Submit a KP TR application for each course.
  2. Get your manager’s approval for your KP TR applications
  3. Complete a BHMT Tuition Assistance Check Request Form and attach it to each KP TR Application you have submitted.
  4. Upload all required documents to your KP TR Application (invoices, receipts, etc.).
  5. Upload proof of completion / grades within 30 days of course completion to remain eligible to use Tuition Assistance or risk losing access to the program for 12 months.
Reimbursement Timeline
  • KP TR application review and approval: Up to 4 weeks.
  • BHMT processing and payment: Up to 2 additional weeks after your KP TR is approved by KP Tuition Reimbursement.
  • Incomplete Tuition Assistance Check Request Forms may cause delays.

IMPORTANT NOTE: If you don’t upload proof of completing your course within 30 days, you might be suspended from BHMT Tuition Assistance for 12 months. Also, no new KP TR applications will be processed until all the required documents for your previous applications are turned in and the applications are closed.

Your Kaiser Permanente Tuition Reimbursement (TR) benefit account resets each January so you must complete a new BHMT Tuition Assistance application to continue participating in the BHMT Tuition Assistance program, your KP TR pre-pay mechanism, without interruption.

Laptop Lending

Make sure you meet the following Program and Technical requirements before applying for the Laptop Lending program:

Program Requirements
  • Stay actively enrolled in a BHMT-sponsored program. The Chromebook is provided to support your education and training, so you must continue participating in a BHMT program or service to maintain use of your borrowed Chromebook.
  • Stay employed in a BHMT-eligible position at KP. If your employment status changes to a position outside KP, or within KP that is no longer eligible for BHMT benefits, you will need to return your borrowed BHMT Chromebook immediately.
  • Keep your original packaging. Chromebooks come with instructions for activation and logging into your systems. Please keep all paperwork including the box, so you may eventually return it.
  • Report any damage or loss. If your laptop is lost or damaged, notify BHMT or Eduscape as soon as possible so it can be repaired or replaced.
  • Return the laptop when requested. Since the Chromebook belongs to BHMT:
    • You must return it when you complete your course of study and do not anticipate re-enrolling in another BHMT program or service within the next 3 months.
    • You must return it immediately if a change in employment makes you no longer eligible for BHMT benefits.
    • You must return it within 15 days if BHMT officially requests you to do so.
    • Failure to return your device upon request may put access to other BHMT programs at risk.
Technical Requirements
  • Reliable High-Speed Internet: You will need a stable internet connection and Wi-Fi to use the Chromebook for your coursework.
  • Check School Compatibility: Not all schools use the same online learning platforms. Before applying, confirm the Chromebook works with your school's systems.

Conditions of Issue:
In the interests of furthering the educational/training goals of Ben Hudnall Memorial Trust ("BHMT") and professional goals of the User, BHMT will provide an active KP Union Alliance or Coalition employee (the "User") one (1) Chromebook ("Laptop" and accompanying accessories) for use while the User participates in the BHMT Laptop Lending Program.

In consideration of the BHMT permitting my use of the Laptop, should my application be accepted, I agree to the following conditions:

  1. I have completed my probationary period and am a regular, benefited full-time or part-time active KP Union Alliance or Coalition employee served by the Ben Hudnall Memorial Trust.    
  2. I am actively enrolled and engaged in a BHMT sponsored program. BHMT sponsored programs include degrees & certification, Ben U Academic, Ben U Skills, Ben U CE, and Cohort Training. OR I am not actively enrolled and engaged in a BHMT sponsored program, but I have met with my BHMT Career Development Coach and have developed an education plan that would include courses that would allow me to use the Laptop for program purposes.   
  3. I understand that I must have a reliable Wi-Fi connection to use the Laptop as intended and BHMT is not responsible for Wi-Fi connectivity.   
  4. I understand that my use of the Laptop computer is related to my current participation in the BHMT sponsored program and could change if conditions of employment status changes or if I discontinue participation in BHMT education programs.   
  5. I understand the Laptop computer is property of BHMT and I will return it to BHMT or authorized representative when requested within 24 hours of an official request in writing by BHMT either to the physical address I have provided or the email address I have provided in this application.   
  6. I understand that I have no expectation of privacy. I agree to not use this Laptop in any manner that violates (or attempts to violate) regulations, rights of privacy, proprietary rights, or the terms of use of any network, website, or service accessed through this Laptop.   
  7. I understand that I must report any damage and loss of the Laptop to BHMT or an authorized representative immediately to ensure timely repair or replacement. BHMT will help the participant replace the device once per three years.   
  8. I agree that I may be liable for any loss or damage caused to the Laptop through my negligent or careless use that is outside warranty conditions and not attributable to normal wear and tear. In such instances, I agree to provide a declaration stating the circumstances surrounding the loss or damage. I also understand that any decision concerning obligations under this clause will be made by BHMT and will be based upon my declaration.   
  9. I confirm that I have read, understand and agree to the above terms, and am willing to take responsibility for the Laptop and follow the program policies as determined by BHMT.

  • The Chromebook is provided to support your education and training, so you MUST be actively enrolled in a BHMT program or service to maintain use of your borrowed Chromebook.
Setting Up Your Laptop
  1. Power on the device
    Press the power key until the device turns on. If it doesn’t turn on after a few seconds, connect the power cord and try again.
  2. Connect to your Internet
    To continue set up, you will need to connect to Wi-Fi. Follow the onscreen prompts to connect to the internet.
  3. Login
    Login using your existing Google or Gmail account or follow the prompts to create a new one.
  4. Google and Microsoft Licensing
    If you need licenses or other Productivity tools, work with your school to find out what you have access to.
    You can access Microsoft Office 365 through your KP.org email address.
    The desktop version of Microsoft Office is not compatible with the Chromebook. You must access the cloud-based Office 365.
Laptop Support
  • To reset your password, visit the Eduscape help page.
  • For any other technical assistance related to your laptop, contact Eduscape for support.

Report any damage or loss. If your laptop is lost or damaged, notify BHMT or Eduscape as soon as possible so it can be repaired or replaced.

To return or replace the laptop, you will need to pack the laptop in the original packaging you received it in.

Wage Replacement

Wage Replacement is designed to support working adults to carve out time in their busy work/life schedule so they can obtain a degree or certification crucial to their career development at Kaiser Permanente (KP). You can receive a maximum 16 hours per pay period, but do not have to request hours each pay period to maintain your active status in the program. Use your wage replacement hours how and when they benefit you the most.

Wage Replacement is income that is paid directly from BHMT to you each pay period for class work or study time, provided you reduce your KP worked hours by the same number of hours you are requesting payment from BHMT. This is NOT supplemental pay - if you do not reduce your KP worked hours, you will not receive a BHMT payment even if you code it as part of your KP timecard.

In order to receive Wage Replacement, you must maintain your eligibility, continually pass your courses with a “C” or better or show continual progress in your program if grades are not applicable.

Wage Replacement will not be paid during school breaks. You must be actively enrolled in classes during the school's academic term to receive payments from BHMT.

BHMT does not have access to KP payroll systems to see your KP pay rate. It is your responsibility to keep BHMT updated on any pay increases, additional differentials regularly added to your pay, etc. by sending your KP pay slip to LMP-Careers@kp.org at the time changes happen.

  • Send your updated pay slip to LMP-Careers@kp.org and clearly state you are requesting BHMT to update your pay rate
  • BHMT will update your payrate for any pay periods following receipt of your new KP pay slip and will process retro-pay adjustments for any BHMT payments made up to 60 days since your new rate took effect.
  • Any BHMT payments older than 60 days from when BHMT receives notice of your payrate change will not be adjusted.

To receive wage replacement funds, you must apply AND be approved by BHMT for Wage Replacement.

Follow these steps to apply for Wage Replacement:

  1. Discuss your plans with your manager. Since receiving wage replacement funds requires a reduction in your regularly scheduled KP work hours, you must have your manager's approval before applying. If you do not have their approval to reduce your KP work hours, you are not eligible to apply to the program.

  2. Schedule a meeting with a BHMT Career Development Coach (CDC). Your CDC will help:
    • discuss your goals and if a new degree/certification is your next step
    • discuss your learning readiness
    • guide you through developing your individualized Career Map with short- and long-term action items to get you on your way
    Your CDC will refer you to a BHMT Academic Success Coach.
  3. Schedule a meeting with a BHMT Academic Success Coach (ASC). Your ASC will help:
    • choose the best school for your goals
    • guide you through the application process
    • guide you through creating an individualized Learning Resource Plan for your program
  4. Gather your application materials and upload them to the application:
    • Program Acceptance Letter - it must include school name and major/concentration
    • Class Schedule - only include your current classes
    • Learning Resource Plan - you create the plan with your Academic Success Coach
    • Manager's Electronic Approval - you need to inform your manager that they will be receiving an email to confirm that they agree to a reduced work schedule

Important: You must have met with an ASC in the past 12 months to apply to the Wage Replacement program. In addition, you must upload your application materials and BHMT must receive your manager's approval before your application can move forward into the review process.

Complete the application and then upload your:

  • Acceptance letter
  • Class schedule
  • Learning Resource Plan

Important: Your application will not be processed until all required documents have been uploaded and your manager has submitted their approval.

Next Steps

  • BHMT typically reviews applications within 1-2 weeks from receiving your manager's electronic approval.
  • You and your manager will receive an approval or denial email.
  • If your application is denied, an Academic Success Coach can help you explore other options.

Once you're approved for Wage Replacement, you're eligible to receive payments.

Do not start reducing hours and reporting hours to BHMT before you and your manager have received your approval notice from BHMT. We cannot pay any wage reduction hours taken prior to the date of your approval into the program.

BHMT requires you to provide three items to begin processing your payments:

  1. Send a copy of your most current KP pay slip to LMP-Careers@kp.org.
  2. Set up direct deposit (optional) by sending a voided check with the Direct Deposit Form.
  3. Report your wage replacement hours based on your market's process.

Tip: Before reporting your wage replacement time, consult with your regional HR representative to ensure that your participation in the program does not impact your employment status or reduce your benefits.

Wage Replacement Reporting Hours by Market

You are now ready to start reducing your KP work time and reporting those reduced hours to BHMT for payment.

The process of reporting your wage replacement hours varies by market and state. This table defines the reporting process for each market.

Missing a Payment?

Didn't get your “BEN” time coded onto your timecard before the pay period closed? Or maybe forgot it completely? It happens from time to time, and we've got you covered.

  • Complete a Reduced Hours Report (RHR).
  • Get your manager's signature.
  • Email it to LMP-Careers@kp.org by Tuesday at 5 p.m. PST to ensure your payment is included in the next BHMT check run. Please include a copy of your coded timecard for the full pay period of the missing payment. A timecard is needed for each missing pay period.
  • You will get a confirmation email once your payment has been processed.

To maintain your Wage Replacement application in “Active” status and continue receiving wage replacement payments without interruptions throughout your degree or certification program, you must:

  • Complete all courses each academic term with a final grade of “C” or better. If you do not pass a course, you will need to work with a BHMT ASC before you can resume receiving wage replacement.
  • Within 15 days after your term ends, upload a copy of your grades for that term to your Wage Replacement application.
  • If you're starting a new term, you'll also need to upload your new class schedule within 15 days of the term starting.
  • If your program has a clinical or practicum requirement, you may need to upload extra documents before that part of the program. Your Academic Success Coach can help you with what's needed.
  • Stay enrolled in the same program and school that is listed on your Wage Replacement application. If you switch to a new program or school, you'll need to fill out a new Wage Replacement application to continue receiving payments.
  • Complete an online check-in and/or meet with your BHMT ASC twice a year to track progress and to discuss any difficulties you may be experiencing. You should receive a link via email to our online check-in app twice a year.
  • Respond to any communications from your BHMT Client Services Team (CDC, ASC, Program Specialist, or Customer Service rep) in a timely manner. If they're reaching out to you about your program - it will be important.

Important: If you're in a BHMT-partner school degree or graduate certificate program, you don't need to upload grades or schedules. If you have trouble uploading documents, check out the Uploading Documents video tutorial.

Note: Your Wage Replacement application is tied to the specific degree program at the school that received your Intent to Enroll certificate and that you applied to. If you change programs at this school, or change schools, you will need to submit a new Wage Replacement application to continue receiving payments.

Protecting your private information is our priority. This Statement of Privacy applies to the Ben Hudnall Memorial Trust and BHMT websites and governs data collection and usage. BHMT may share data with trusted partners to help perform statistical analysis, send you email or postal mail, or provide customer support. BHMT may keep track of the websites and pages our users visit within BHMT, in order to determine what BHMT services are the most popular. This data is used to deliver customized content and advertising within BHMT to participants whose behavior indicates that they are interested in a particular subject area.

BHMT will disclose your personal information, without notice, only if required to do so by law or in the good faith belief that such action is necessary to: (a) conform to the edicts of the law or comply with legal process served on BHMT or the site; (b) protect and defend the rights or property of BHMT; and, (c) act under exigent circumstances to protect the personal safety of users of BHMT, or the public.
